In practiceAn 869-page manual. Searchable by question.Marvin HänselHandwerkskammer PotsdamRead story

Marvin Hänsel · Handwerkskammer Potsdam

An 869-page manual. Searchable by question.

Group coaching · Cohort 3

Marvin advises skilled-trade businesses on digitalisation. During group coaching, he starts developing his own applications for machine knowledge, vehicle appointments and everyday organisation.

The starting point

An instructor needs to use an English machine manual in German. Instead of translating all 869 pages at once, Marvin builds a search interface: a question retrieves relevant original passages and a German translation. He demonstrates the local tool during coaching.

Prototype demonstrated

Search a machine manual

A local search application retrieves passages from an 869-page manual and translates them into German. Retrieval quality is being improved through coaching.

Application built

Keep track of vehicle appointments

A custom fleet application stores vehicles and appointments centrally. Email reminders flag upcoming dates; the workflow is refined through practical use.

Interface developed

Time recording around the actual workflow

For a cleaning business, Marvin develops an interface with separate office and employee views and a signature function.

Reported in use

Automate club administration

A membership list becomes a birthday overview with automatically sent greetings. New members enter the workflow through the same spreadsheet.

In development

Develop NormLotse

Marvin is developing an assistant for searching technical standards. A prototype exists; the technical reliability of its answers is still under review.

What the guidance makes possible

Marvin can now translate concrete requirements into interfaces, databases and automations of his own. His projects show the path from small tools to more demanding knowledge applications.

In practiceA custom radar for relevant tenders.Alexander RotterOCHS RohrleitungsbauRead story

Alexander Rotter · OCHS Rohrleitungsbau

A custom radar for relevant tenders.

Individual guidance + team training

Alexander develops AI applications for pipeline construction. Personal work with Marco produces custom tools and a foundation for his team to build solutions too.

The starting point

Relevant construction tenders were spread across different portals. Alexander had to review and prepare them for estimating. His tender radar brings the search together and supports shortlisting. Since July, he has reported use by the estimating team.

Used in the business

Find and shortlist tenders

A custom system collects tenders, assesses them against business criteria and presents a shortlist for the estimating team to review and act on.

Application presented

Capture site documentation digitally

A custom application supports risk-assessment documentation: select relevant measures, sign digitally and save the document as a PDF.

Actively used

Build a personal knowledge system

Decisions, experience and project histories form a shared knowledge base for Alexander and his AI. Semantic search helps retrieve relevant information.

Used in everyday work

Summarise emails and tasks

An assistant provides an overview of open emails and tasks. Alexander can also report completed items by voice message.

In development

Document pipelines on site

Another application is being developed for pipe sequences, components and welding data. The local version is being extended towards multi-user work.

What the guidance makes possible

The work now extends beyond individual applications: Alexander is developing the system architecture and clear access rules. In parallel, four team members are learning to develop their own business applications.

In practiceAn employee app for everyday operations.Oliver StrobelZitzelsberger GebäudereinigungRead story

Oliver Strobel · Zitzelsberger Gebäudereinigung

An employee app for everyday operations.

Group coaching · Cohort 2

Oliver brings workflows, quality checks and training together in an employee app. Through group coaching, he is developing it into a growing system for the cleaning business.

The starting point

Processes had previously been represented in tools including Excel. Oliver brings them into a shared application: who handles each task when a new site starts? What needs cleaning? How is quality documented?

Features built

Tasks and quality in one app

Starting a new site triggers tasks for the people responsible. Staff document quality checks against the service specification, with instructions available as multilingual audio.

Tested in practice

Turn images into training drafts

Photos, video and spoken notes provide the basis for draft risk assessments. Human review and approval precede generation of a training document.

Prototype demonstrated

Practise cleaning in a virtual environment

A training module demonstrates cleaning processes in a 360-degree environment. Users can select stations through a VR headset and listen to instructions in several languages.

Under evaluation

Prepare cleaning quotations

An estimating tool processes customer documents and proposes calculations using the company’s performance figures and price categories. Initial comparisons with previous quotations have been carried out.

Being built

Give customers their own view

A customer portal is being connected to the employee app, with the aim of making approved quality records and training status accessible for each site.

What the guidance makes possible

Oliver turns individual tasks into connected workflows. He uses the training to plan and build independently, then improve the applications with feedback from the business.

In practiceTurn site meetings into written minutes.Daniel HölscherGebr. Hölscher BauunternehmungRead story

Daniel Hölscher · Gebr. Hölscher Bauunternehmung

Turn site meetings into written minutes.

Group coaching · Cohort 2

Daniel develops AI tools for his construction business and connects them to the existing Microsoft environment: from meeting recordings and company knowledge to quotation preparation.

The starting point

Record a site meeting, produce the right minutes and file the information in the right place: Daniel has built his own workflow. It imports phone recordings, identifies speakers and generates minutes using predefined templates.

Reported working

Prepare meeting minutes automatically

The system imports recordings, identifies speakers and creates Word and PDF minutes. It uses project context and prepares emails for participants, with results available for review.

Demonstrated in coaching

Use company knowledge in an internal AI chat

An internal portal connects AI with SQL data and SharePoint information. Questions about customers or projects return answers with source references.

Tools built

Estimate costs and prepare quotations

Daniel has developed a cost estimator and tools to draft and review quotations, drawing on data from the company’s existing business software.

Under further development

Match invoices and delivery notes

A custom workflow supports document recognition, filing and matching. Development continues because exceptions and matching errors still require human review.

Prototype built

Record warehouse materials

A prototype combines inventory management with goods receipt. Employees can also submit bugs and suggestions for the company’s own tools.

What the guidance makes possible

Daniel takes the concepts from coaching and adapts them to his existing systems. This produces custom applications with Microsoft sign-in, user permissions and company data.
